Scheduling & Appointments

Let people book themselves instead of playing phone tag

“Booking anything takes four messages back and forth before we land on a time that works.”

The short answer

Publish a booking link that shows your real availability and lets someone pick a slot without asking you first. Phone tag is the single largest avoidable time drain in a service business, and it costs bookings outright when someone gives up mid-thread. A link removes the negotiation entirely, works while you are with a client, and books at nine at night when you are asleep.

  • ~4 hours/week back (estimated)
  • 20 minutes to set up
  • Easy difficulty

How we estimated that: Assumes 20 bookings a week and roughly 12 minutes each of back-and-forth to agree a time. This is a model, not a measurement — check it against your own numbers, because if the assumption does not match your business the figure will not either.

What you'll need

  • Your existing booking system
If you already have one, the public link exists — it often just is not published anywhere.
We have not checked this tool's pricing ourselves yet, so we are not quoting it. Confirm current cost with the vendor.
  • Google Calendar appointment schedules free
Free with a Google account for basic booking pages. Taking payment at booking needs a paid Workspace plan.
Free until: 1 booking page on personal Google Accounts. Advanced features like multiple booking pages, Stripe payment collection, automated email reminders, and custom booking form fields require a paid Google Workspace subscription (from $6/mo) or Google One Premium plan.
Watch the pricing: Collecting payments on booking or creating multiple booking pages requires upgrading to paid Google Workspace (from $6/user/mo) or Google One 2TB+ plan ($9.99/mo).

  • Calendly free tier
Free plan covers one event type, which is enough to start.
Free until: Free plan is capped at 1 event type and 1 connected calendar, with no time limit. Round-robin is not available on Free or Standard.
Watch the pricing: Standard $10/seat/mo and Teams $16/seat/mo are BILLED YEARLY — monthly billing costs more. Round-robin distribution requires Teams. Enterprise starts at $15,000/yr.

Pricing above was checked between 2026-08-01 and 2026-08-02. 1 of these 3 entries is still unverified. Vendors change their terms without notice, and free tiers do get withdrawn. We take no money from any vendor listed here. If something on this page is out of date, tell us and we will correct it.

How to set it up

  1. Decide what people are actually allowed to book

Not every service should be self-bookable. Start with the one or two that need no judgement call from you.

  2. Set genuine availability, not aspirational availability

Publish only hours you will reliably honour. A booking you have to move costs more goodwill than a narrower window would have.

  3. Add buffers and a daily cap

Ten to fifteen minutes between slots, and a maximum per day. Without a cap, one busy week fills every gap you had for admin.

  4. Put the link everywhere people already look

Google Business Profile, Instagram bio, email signature, website. Most of the value is in the Google profile, because that is where people find you at the moment of intent.

  5. Set the confirmation and reminder in the same place

A booking with no confirmation feels unfinished, and reminders are what stop it becoming a no-show.

Common questions

What if I need to vet people before booking?
Use a short intake question on the booking form, or make the link consultation-only and book the treatment yourself afterwards. Self-serve does not have to mean unfiltered.
What does it cost?
Nothing to start. Google appointment schedules and the free Calendly tier both cover a single service. Payment at booking is where costs appear.
Will I lose the personal touch?
Most people prefer booking at 9pm without waiting for a reply. The personal part is the appointment, not the scheduling negotiation.
