- Install the app and sign in
Put QuickBooks mobile, Xero Me, or Hubdoc on your phone and connect it to your books — two minutes, no IT needed.
- Snap at the point of sale
Photograph the receipt before it reaches the glovebox. The OCR reads vendor, date, and total; you confirm with one tap.
- Build rules for your top vendors
Create bank rules for the ten vendors you hit most — Home Depot, Ferguson, your fuel station — so matching bank-feed lines auto-categorize.
- Tag the ambiguous ones
Anything you're unsure about gets an 'ask my accountant' tag instead of a guess — your CPA answers in one batch at month-end.
- Close the month clean
Receipts arrive attached to reconciled lines, so month-end review is a skim instead of a forensic dig.

- What does this actually cost?
- Nothing extra if you already pay for QuickBooks Online (receipt snap is built in) or Xero (Hubdoc is included). Standalone Hubdoc is $12/mo (checked 2026-09-18, hubdoc.com/pricing) — worth it only for QuickBooks users with heavy paper volume.
- What about the shoebox I already have?
- The pile is history — batch-scan it into Hubdoc or hand it to your bookkeeper once. The fix is forward-looking: every new receipt dies on your camera roll instead of in the truck.
- Will it read faded thermal receipts?
- Modern OCR handles most thermal prints. Faded or handwritten slips get routed to the 'ask my accountant' tag rather than guessed wrong.
